- Drop us an email or telephone us with your preferred gorilla trekking dates. We request that you give us a range of dates, incase gorilla permits are not available for your preferred gorilla trek day.
- Based on gorilla permits availability charts that we receive regularly from RDB the permits issuing office, we shall first contact RDB to confirm availability numbers, as gorilla permits availability can be extremely fluid. We have known cases of 20 permits being snapped up within a matter of hours. Upon confirming available gorilla permit numbers, we revert with you, with confirmations within 4hrs Monday-Saturday. Rwanda gorilla permit enquiries that come through to us on Sundays will be confirmed first thing on Monday mornings as RDB offices are closed on Sundays. We will however give us indicative availability based on Friday's permits numbers.
- Upon advice of gorilla permits' availability, we request that you send to us full names, nationalities and passport numbers of all the gorilla trekkers, as these get printed on the Rwanda gorilla permits.
- We shall the proceed to send you a formal invoice indicating our banking details either London UK bank account or our direct Kigali Rwanda bank account. For ultra urgent permit bookings, Western Union is a much faster way of getting funds to us in Kigali. For less urgent gorilla permit bookings, clients are able to make payments to us using most major credit cards via paypal. The only snag to this type of payment is the sometimes prohibitive paypal transaction fees of 5% of invoice value and associated delays of having to evacuate the funds into our paypal linked US bank account prior to sending same to Kigali.
- When you bank wire funds to us, we request that you advise us so that we can look out for the same and acknowledge receipt asap. It usually takes 4-5 business working days for the monies to get to us, depending on the remitting bank. Upon receipt of funds, we send you an acknowledgement email without any delay. For more urgent permits requests, we are able to purchase the gorilla permits using our own Kigali domiciled funds, as soon as you send to us a bank wire confirmation note, so that we do not miss out on the few remaining gorilla permits.
- When we receive the funds that you send to us, we make payments for the gorilla permits in the bank onto RDB's bank account( cash payments are not allowed) at RDB's offices in Kigali. RDB takes about 4 days to process the gorilla permits. Our Kigali office gets notified by telephone as soon as your permits are ready for collection by a member of our dedicated staff.
- Upon receipt of your gorilla permits from RDB. On the same day, we shall scan and email copies of the gorilla permits for your review and for those who require entry visas into Rwanda for use as an invitation letter to visit Rwanda for visa purposes.. The originals of the gorilla permits are secured in our Kigali office and will be delivered to you upon arrival to Kigali either at the airport if you prefer or to your Kigali hotel. In rare cases and upon request, we are able to deliver gorilla permits to PNV for clients who do not transit through Kigali for one reason or another.
- At this stage for clients who prefer to book other gorilla tour related components with us, we are able to advise other value added services, including airport transfers, self drive 4x4 car hire, with driver 4x4 rentals, accommodation bookings in Kigali, accommodation bookings in the Virungas, purchase of chimp permits, booking of golden monkey permits, Kigali city tours or even outfitted guided gorilla tour packages. We have a range of self drive and with driver 4x4 cars for hire at very good competitive prices. Our accommodation booking are pro-bono and will not cost you anymore than you would otherwise pay if you contact the Lodge/Hotel direct. You tell us your accommodation options and we book them on your behalf-free of charge.
- If gorilla permits are not available for Rwanda and one is willing to gorilla trek across the border in Bwindi/Buhoma in Uganda, we shall ask our Uganda office to urgently check availability with Uganda Wildlife Authority's offices in Kampala Uganda and advise ASAP.
